Job Description

Our client is seeking a Facilities Administrator who will work under the general direction of the Facilities Manager. The Facilities Administrator executes and oversees the administrative processes of the facilities department and ensures effective daily operations. This is a great opportunity to work alongside experienced individuals and gain facility management experience.

Qualified candidates will have a minimum of 2 years office administrative experience.

Hours

Full-time, Monday to Friday, 8:00am-5:00pm

Honolulu, Oahu

Responsibilities

  • Oversee shipping and receiving processes.
  • Oversee purchasing activities supporting the facilities department (e.g., materials, equipment, and supplies).
  • Retrieve information from records, emails, and other documents as needed.
  • Issue and manage work orders.
  • Monitor and track facilities department spending, as well as budget preparation.
  • Assist the Facilities Manager with research in areas such as construction, vendors, and polices as necessary.
  • Assist the Facilities Manager with department tasking and scheduling.
  • Assist with accessibility and historical preservation initiatives.
  • Ensure the renewal of registrations and certifications.
  • Maintain vendor/contractor data.
  • Maintain physical and digital filing systems.
  • Perform other duties as assigned by the Facilities Manager.

Qualifications

  • Minimum 2 years of office administration experience.
  • Experience with basic business procurement processes, to include purchasing, processing invoices, shipping and receiving, and maintenance of records.
  • Proficient in Microsoft Office (Word, Excel, Outlook, etc.).
  • Strong verbal, written and interpersonal communication skills.
  • Ability to help coordinate activities, work collaboratively, and communicate with diverse stakeholders, to include contractors, vendors, and multiple departments across the museum.
  • Familiarity with maintenance management systems and processes, to include work order management desired.
  • Ability to multi-task in a busy, fast-paced environment.
  • Highly organized with strong attention to detail.
