Job Description

A local company is seeking a friendly, organized, and professional Front Office Coordinator to serve as the first point of contact for visitors, clients, and employees. This role is responsible for managing front desk operations and providing administrative support to ensure the office runs smoothly and efficiently.

The ideal candidate enjoys helping others, excels at staying organized, and can effectively manage multiple administrative tasks while maintaining a welcoming and professional office environment.

Full-time, Monday-Friday 7:30am- 4:30pm

Pay

$25 an hour

Responsibilities

  • Serve as the primary point of contact for visitors, clients, vendors, and employees.
  • Greet and assist guests in a friendly and professional manner.
  • Manage visitor check-in procedures and notify employees of arrivals.
  • Maintain a clean, organized, and welcoming reception area.
  • Answer and direct general inquiries.
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Coordinate client pick-up and drop-off items and maintain accurate tracking records.
  • Ensure documents, packages, and materials are appropriately stored and distributed.
  • Maintain confidentiality when handling sensitive information.
  • Order and monitor office and kitchen supplies.
  • Assist with document preparation, filing, data entry, and record maintenance.
  • Schedule conference rooms and support meeting logistics as needed.
  • Provide administrative assistance to various departments as assigned.
  • Support office events, employee meetings, and company functions.
  • Assist with vendor coordination and facility-related requests.
  • Help maintain office organization, inventory, and common areas.
  • Identify opportunities to improve office processes and efficiency.

Qualifications

Required

  • High school diploma or equivalent required; associate's degree preferred.
  • 1-3 years of customer service, receptionist, administrative, or office support experience.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Professional demeanor with a strong customer service mindset.
  • Ability to prioritize tasks, manage multiple responsibilities, and meet deadlines.
  • Ability to lift and transport boxes of printed materials and marketing supplies up to 25 pounds.
  • Ability to travel occasionally to pick up, deliver, or coordinate marketing materials and event supplies.

Preferred

  • Experience working in a front desk, reception, or administrative support role.
  • Experience handling confidential information and records.
  • Experience coordinating office operations, supplies, or vendors.
  • Familiarity with office equipment, mail processing, and scheduling systems.
