Job Description

A local educational organization is seeking a dependable and organized Office Assistant to support daily administrative and operational functions. This role serves as a key point of contact for prospective and current families and plays an important role in maintaining organized school operations, supporting enrollment efforts, and ensuring a welcoming and professional office environment.

The ideal candidate is detail-oriented, customer service driven, and comfortable balancing multiple priorities in a fast-paced educational setting.

Hours

Full-time, Monday - Friday, 8:00 a.m. to 4:00 p.m.

Pay

$52,000 to $53,000 a year

Responsibilities

  • Greet and assist families, visitors, vendors, and staff in a professional and welcoming manner
  • Answer and direct incoming phone calls, emails, and inquiries
  • Manage enrollment support from initial inquiry through onboarding, including scheduling tours, maintaining waitlists, and coordinating registration paperwork
  • Maintain accurate student, family, and enrollment records in digital systems and physical files
  • Support school communications, newsletters, announcements, and family messaging
  • Coordinate office operations including mail distribution, supplies, filing, scanning, data entry, and document preparation
  • Assist with school events, family engagement activities, and administrative projects
  • Track attendance, health records, meal counts, and other compliance-related documentation
  • Coordinate food allergy documentation and communication with staff and families
  • Monitor inventory of classroom, office, and first aid supplies
  • Communicate with families and staff regarding student illnesses and operational updates
  • Provide occasional short-term classroom coverage as needed to maintain compliance ratios
  • Maintain professionalism, confidentiality, and accuracy in all administrative functions

Qualifications

  • High school diploma or equivalent required; some college preferred
  • Minimum 2 years of experience in a professional office or administrative setting
  • Strong computer proficiency including Microsoft Word, Excel, PowerPoint, and Gmail
  • Ability to type at least 65 WPM with strong accuracy and attention to detail
  • Strong organizational, multitasking, and time management skills
  • Excellent verbal and written communication skills
  • Ability to work independently and manage competing priorities in a dynamic environment
  • Strong customer service and interpersonal skills with the ability to work collaboratively with families and staff
  • Ability to maintain confidentiality and professionalism at all times
  • Must be able to successfully complete required background and DHS clearance checks
  • PATCH Aide qualification preferred
