Office Assistant (Part-time) (222873-14)
Our client is seeking a part-time Office Assistant to join their team and assist with answering phone calls, greeting in-person visitors, resolving administrative inquiries and questions, maintaining filing systems and performing other clerical tasks. This is a 6-month contract with the possibility of early completion or extension based on business needs.
Parking is provided.
Hours
Part-time, Monday to Friday, 7:30am-12:00pm
Location
Honolulu, Oahu
Pay
¤19 to ¤21 an hour
Responsibilities
- Answer and transfer phone calls, screen when necessary.
- Welcome and direct visitors and clients and validate parking.
- Maintain filing systems as assigned.
- Retrieve requested information from records, emails, minutes, and other related documents.
- Prepare written summaries of data when needed.
- Respond to and resolve administrative inquiries and questions.
- Coordinate and schedule travel, meetings, and appointments for managers or supervisors.
- Prepare meeting agendas and record and distribute minutes or other records for meetings.
- Maintain office supplies and coordinate maintenance of office equipment.
- Maintain a system for recording expenses and petty cash usage.
- Scan documents into paperless system for staff.
- Handle billings for various departments.
- Bring in the newspapers and distribute accordingly.
- Perform opening procedure for opening the office.
- Perform other related duties as assigned.
Qualifications
- Must have a high school diploma or equivalent.
- Minimum 3 years of experience in an administrative role.
- Proficiency with Microsoft Office (Word, Excel, Outlook) or related software.
- Understanding of clerical procedures and systems such as recordkeeping and filing.
- Strong customer service and communication (verbal, written, interpersonal) skills.
- Strong analytical, organizational, multitasking, and problem-solving skills.
- Ability to work independently.
- Flexible with working additional hours during holidays if needed.
