Job Description

We are seeking a highly organized and detail-oriented Office Manager to oversee the daily administrative operations. The ideal candidate will have experience in bookkeeping, payroll processing, and general office administration, with a working knowledge of QuickBooks and Hawaii's General Excise Tax (G.E.T.).

Full-time, 7:00 a.m. - 4:00 p.m. , Mon-Fri

Pay

$30 to $34 an hour

Responsibilities

  • Manage day-to-day administrative operations of the office.
  • Process accounts payable/receivable and general bookkeeping using QuickBooks.
  • Assist with payroll processing through Intuit Assisted Payroll.
  • Prepare and submit Certified Payroll Reports in compliance with local and state regulations.
  • Handle G.E.T. Tax (General Excise Tax) filings and ensure all financial obligations are met timely.
  • Maintain organized filing systems (digital and physical).
  • Support staff with scheduling, document preparation, and communication.
  • Manage office supply inventory and vendor relations.
  • Provide administrative support to management as needed.
  • Ensure compliance with local, state, and industry-specific regulations.
  • Proven experience as an Office Manager, Administrative Assistant, or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Working knowledge of QuickBooks (minimum 1 year preferred).
  • Experience with Intuit Assisted Payroll and Certified Payroll reporting.
  • Familiarity with G.E.T. Tax filings.
  • Excellent organizational and multitasking abilities.
  • Strong communication and interpersonal skills.
  • High attention to detail and problem-solving abilities.
  • Ability to work independently and as part of a team.

Qualifications

  • Background in the fire protection industry or construction-related field.
  • Knowledge of industry terminology, job costing, and service-related workflows.
  • Experience coordinating with field technicians or service teams.
