Job Description

A growing organization is seeking a dependable and resourceful Office Manager to support the setup and daily management of a new Honolulu office. This part-time, on-site position will serve as a trusted local point of contact while working independently to coordinate office needs, vendors, deliveries, records, and administrative projects.

During the initial assignment, the coordinator will focus on establishing reliable office procedures, completing setup activities, organizing business information, and supporting several operational projects. As the office becomes fully established, the position may expand to include additional scheduling, communication, and administrative responsibilities. On-site parking will be provided.

This opportunity is well suited for someone who is highly organized, comfortable building processes from the ground up, and able to move assignments forward with limited day-to-day supervision.

Hours

Part-time, Monday - Friday, 19 hours/week, some flexibility

Pay

$23 to $25 an hour

Responsibilities

  • Serve as the primary on-site contact for routine office needs, deliveries, mail, visitors, and service appointments.
  • Coordinate office setup activities, including furnishings, supplies, equipment, utilities, and workspace organization.
  • Research service providers, request pricing, organize proposals, and maintain vendor information for management review.
  • Communicate with contractors and vendors regarding appointments, installations, repairs, and service updates.
  • Maintain a professional, organized, and adequately supplied office environment.
  • Track receipts, purchases, deposits, and routine business expenses for review by accounting support.
  • Organize electronic and physical records to ensure information is accurate and easy to retrieve.
  • Assist with candidate sourcing, application review, interview scheduling, and applicant tracking for occasional hiring needs.
  • Enter, organize, and maintain prospect or business contact information within internal systems.
  • Review records for duplicates, missing information, outdated details, and general accuracy.
  • Support special projects, basic scheduling, correspondence, and other administrative needs as operations develop.

Qualifications

  • Previous experience in office administration, operations coordination, executive support, project coordination, or a related role.
  • Strong organizational, prioritization, and follow-through skills.
  • Ability to work independently, exercise sound judgment, and manage projects with limited supervision.
  • Comfortable working in a developing environment where procedures and priorities may continue to evolve.
  • Strong written and verbal communication skills.
  • Experience coordinating vendors, service appointments, office purchases, or facilities-related needs preferred.
  • Comfortable reviewing applications, organizing candidate information, and coordinating interviews.
  • Familiarity with contact-management, customer-tracking, or similar business software preferred.
  • Basic experience maintaining receipts, expense records, spreadsheets, or bookkeeping documentation.
  • Proficiency with common office software, email, online research, shared documents, and spreadsheets.
  • Ability to handle confidential business, financial, vendor, and applicant information with discretion.
  • Reliable transportation and consistent availability to work on-site in Honolulu.
