A local company is seeking a Program Administrative Assistant to serve as the operational backbone of the education department, partnering closely with the Education Administrator to ensure the seamless delivery of both virtual and in-person learning experiences. Pay
$50,000 to $52,000 a year
Responsibilities
- Provide comprehensive administrative and operational support to the education department and its leadership team.
- Act as the primary liaison between internal departments to resolve day-to-day operational issues and ensure smooth program execution.
- Draft, edit, and manage professional correspondence, memoranda, and member communications.
- Manage member inquiries across multiple channels (phone, email, in-person), facilitating course registrations, transfers, and schedule adjustments.
- Design, prepare, and distribute engaging course collateral and marketing materials.
- Oversee on-site and virtual event logistics, including facility setup and breakdown, A/V and tech preparation, catering coordination, and real-time support for instructors.
- Monitor check-ins and attendance for live webinars and in-person classes, ensuring strict compliance with state continuing education (CE) policies and regulatory guidelines.
- Accurately process and report course attendance data to internal membership databases and external state credentialing agencies.
- Maintain highly accurate digital and physical records, ensuring proper data retention and confidentiality of all member information.
- Support broader organizational events and assist cross-departmental initiatives as needed.
Qualifications
- 3+ years of administrative, event coordination, or program support experience in a professional office environment.
- High level of digital fluency, including advanced proficiency in Microsoft Office Suite/365, Google Workspace, virtual meeting platforms (e.g., Zoom), LMS platforms, and design tools (e.g., Canva, Adobe Acrobat, Clipchamp).
- Experience navigating and managing CRM or membership databases, with a basic working knowledge of HTML editing.
- Exceptional organizational skills with the proven ability to manage multiple priorities independently in a fast-paced setting.
- Outstanding written and verbal communication skills, paired with a collaborative, customer-first approach to member service.
- Demonstrated ability to execute on-the-spot problem-solving with meticulous attention to detail.
