Project Coordinator (Hybrid) (222985-11)
A local company is seeking a detail-oriented Project Coordinator to support project teams and ensure smooth communication between stakeholders, including Project Managers, Business Analysts, developers, and clients. This role plays a key part in keeping projects organized, on track, and well-documented by managing meeting materials, tracking action items, and maintaining project timelines and updates.
This position may transition to a hybrid schedule of up to two days per week, based on business needs and manager discretion.
Hours
Full-time, Monday - Friday, 8:00 a.m. to 5:00 p.m.
Location
Honolulu, Oahu
Pay
$52,000 to $60,000 a year
Responsibilities
- Take detailed meeting notes, track action items, and distribute clear summaries to stakeholders.
- Create and maintain project documentation including agendas, timelines, status reports, and client-facing materials.
- Coordinate communication between project teams, including Project Managers, Business Analysts, developers, and stakeholders.
- Assist with preparation of presentations, status updates, and meeting materials.
- Maintain and update project timelines, milestones, and tracking logs.
- Schedule meetings, coordinate resources, and ensure follow-up on deliverables.
- Track risks, issues, and dependencies, and escalate concerns as needed.
- Support change management processes and ensure updates are documented and communicated.
- Provide regular updates to stakeholders, including leadership, on project progress and key issues.
- Collaborate with project leadership to align timelines with team capacity and delivery goals.
- Support overall project coordination and administrative functions as needed.
Qualifications
- Bachelor’s degree in Business Administration, Project Management, Communications, or related field preferred (or equivalent experience).
- 1–3 years of experience in project coordination, administration, or similar support role.
- Experience working in cross-functional teams (e.g., IT, business, or client-facing environments).
- Familiarity with project management methodologies such as Agile, Scrum, or Waterfall.
- Experience with tools such as Jira, Trello, Asana, Microsoft Project, or similar platforms.
- Strong organizational skills with the ability to manage multiple tasks and deadlines.
- Excellent written and verbal communication skills, including summarizing complex information clearly.
- Ability to work in a fast-paced environment with changing priorities.
- Strong attention to detail and follow-through.
- Proactive mindset with the ability to identify and escalate issues appropriately.
- Comfortable working with both technical and non-technical stakeholders.
- Ability to follow organizational information security and data protection policies.
- Minimal travel may be required for stakeholder meetings or training.
