Responsibilities

Receptionist:

  • Welcome visitors with aloha as they arrive at the main entrance.
  • Notify team members when visitors arrive, or packages are delivered.
  • Answer incoming phone calls that are not self-directed to another extension.
  • Ensure front desk area is tidy and presentable, with all necessary stationery and material (e.g., pens, forms and brochures).
  • Provide basic and accurate information in-person and via phone and email.
  • Receive, sort and distribute daily mail and deliveries.
  • Maintain front desk security by following safety procedures and controlling access via the front desk (perform temperature checks and other health clearance activities, maintain logbook, issue visitor badges).

Administrative Support:

  • Manage CEO's emails, voicemails, files and calendar.
  • Manage the CEO?s schedule, including arranging appointments and meetings, both virtual and in-person.
  • Track and assist the CEO with managing key deadlines.
  • Assist the CEO with managing key tasks and facilitate key activities to completion.
  • Arrange travel and accommodations for the CEO.
  • Manage executive correspondence and files, including confidential and sensitive communications.
  • Organize and manage files for the CEO.
  • Document processes that support the CEO?s work.

Qualifications

  • Prior front desk or administrative experience.
  • Strong communication (verbal, written, interpersonal) skills.
  • Excellent customer service skills.
  • Strong eye for detail.
  • Proficient in MS Office.
  • Ability to maintain confidentiality and handle sensitive information.
  • Reliable, trustworthy, hardworking.
  • Two step TB clearance.
  • Influenza and COVID-19 vaccination required by client for this position. This is not an ALTRES Staffing requirement.
