Cooling Hawaii LLC (wholly owned subsidiary of Castaway Construction & Restoration LLC) - HVAC Sales/Estimator


Principal Responsibilities

• Visit job sites, review plans/drawings, and work with superintendents to do take-offs and complete estimates for commercial and residential HVAC projects.

• Proactively finds new work to bid by visiting potential clients and performing sales calls, and provides new HVAC installation estimates to clients

• Work with HVAC Installers and Technicians to install, service, or repair HVAC equipment.

• Consult with HVAC Installers, HVAC Technicians, and Project Coordinators to effectively achieve company goals, eliminate wasted time, effort and money, and perform quality work on time and within budget.

• Assist management with planning and coordinating aspects of the HVAC service or install process, including working with Subcontractors, owners, engineers, architects, and vendors.

• Supports HVAC technicians/installers to meet project demands and customers’ expectations.

• Interacts with customers via phone, e-mail, text, or in person to ensure quality meets established standards, techniques and quality & safety requirements; makes recommendations per personal and technicians’ expertise as requirements to improve quality and productivity.

• Proactively maintain a safe and positive work environment.

• Effective manpower planning for future projects, including direction of specialty subcontractors. Works with Superintendent to develop job schedules and ensures project execution is in alignment. Makes sure the right jobs are assigned to the right crews to ensure maximum efficiency/profitability.

• Assist management with job cost tracking and forecasting for final project costs.

• Assist management and project coordinators with procurement of necessary equipment and materials. Ensures materials and equipment are ordered in advance and are onsite for JIT (Just-in-Time) delivery and installation. Works with Inventory Manager to track and order materials and equipment.

• Maintain a professional rapport with clients, architects, engineers, building owners, installers and suppliers.

• Attend necessary job meetings.

• Follow-up on any required installation/service work and maintain contact with owner to ensure customer satisfaction.

• Estimate changes in scope of work.

• Approves and submits invoices to Accounting.

• Provides outstanding customer service and responds to customer issues or complaints maintaining highest standards of professionalism.

• Communicates customers’ needs to office and Installation teams effectively.

• Adheres to and enforces Safety program and constantly works to achieve improvement and reduce accidents.

• Sets an example in keeping the job site organized and clean, including meeting standards for waste disposal and environmental protection.

• Input necessary project data into Viewpoint and Service Titan software efficiently and accurately.

• Inspects Cooling Hawaii vehicle that he/she drives, reports any vehicle service/repair needs to management, and keeps vehicle clean.

• Perform additional assignments per supervisor's direction.

Knowledge, Skills & Abilities

• Knowledge of HVAC systems, ductwork, piping and controls

• Must be able to pass background check and work on Federal and State projects.

• Excellent verbal communications skills, especially when addressing customers, clients or official visitors, as well as communicating to employees and management.

• Able to read and interpret project specifications and verify proper execution.

• Ability to write reports and professional correspondence to vendors, government officials, and clients.

• Able to comprehend technical documents, such as safety regulations, assembly and maintenance instructions, and procedure manuals.

• Keen eye to identify non-compliance with regulations or standards and ability to suggest solutions for deficiencies or problems.

• Experience with managing demanding clients and offering creative solutions to meet commitments and requests.

• Experience in reading blueprints.

• Excellent time management.

• Decisive individual with a strong mechanical aptitude

Qualifications and Education Requirements

• College Degree in Engineering, Construction Management, or Business Administration preferred, or High School Diploma and equivalent work experience

• Must have Driver’s License and good driving record

• Minimum 5 years of HVAC experience

• Minimum of 3 years of mechanical estimating experience

• Knowledge of contract negotiations, financials and revenue implications

• Proficient in Microsoft Office (Word, Excel, Outlook)

• HVAC or EPA certifications a PLUS.

• Experience with using Service Titan software a PLUS.
