OVERVIEW 

This Purchasing Clerk is responsible for managing the procurement process of goods and services required by a company. The role involves sourcing and purchasing materials, equipment, and services needed to maintain the company's operations, while ensuring the best quality and price. This role is also a supportive role in the accounting department and will provide AR and AP support. 

MINIMUM QUALIFICATIONS

• Demonstrates the highest level of professionalism and courtesy when interacting with colleagues, customers, and vendors 
• Demonstrates the ability to exercise discretion and maintain confidentiality when dealing with company-related matters 
• Minimum High School diploma, Bachelor's degree in Accounting, Finance or related field is a plus 
• Minimum of 3 years experience in purchasing for electrical contractor or similar experience
• Proficiency in working with Microsoft Office applications, Google Workspace, Netsuite, Quickbooks, etc
• Excellent communication and collaboration skills
• Detail-oriented and able to manage multiple priorities with high level of accuracy and efficiency
• Follows, promotes and enforces all company operations standards, policies and processes
• Positive outlook even when challenged with physically or mentally demanding situations

ESSENTIAL DUTIES AND RESPONSIBILITIES

• Reviews Netsuite for upcoming pipeline of materials needed for projects 
• Prepares purchase orders by verifying specifications and price; obtaining recommendations from suppliers for substitute items; obtaining approval from CFO and requesting manager
• Keeps track of available inventory items by verifying stock and scheduled deliveries
• Obtains purchased items by forwarding orders to suppliers; monitoring and expediting orders.
• Enters purchase order into Netsuite and reconciles with packing slips 
• Tracks orders from vendors; resolves shipments in error with suppliers.
• Monitor inventory levels to ensure that the company has adequate stock of required materials.
• Develop and maintain strong relationships with suppliers to ensure timely delivery of materials and equipment.
• Maintain accurate records of purchases, pricing, and delivery schedules
• Manage the return of defective or damaged products to suppliers and ensure timely replacement or repair.
• Create POs, send to vendor and maintain information logged for tracking and reconciliation purposes
• Received - processed in NS ( reconcile - purchasing to confirm no overalls for backlogged stock and billed for actuals only) convert this to a bill and it’s sent to AP
• Perform AP/AR functions when assigned by management 
• Other duties as assigned 

WORKING CONDITIONS  

While performing the duties of this job, the employee is regularly required to sit, climb, bend, kneel, balance, 

stoop, walk and reach. The employee will occasionally be required to lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
