Job Description

We are seeking a highly organized and detail-oriented Temporary Executive Assistant to support the Executive Director of our sober living residence in Holualoa. This is a short-term assignment lasting approximately 3 to 5 months, focused on helping the Executive Director manage a backlog of tasks and streamline daily operations.

Hours

Full-time, Monday-Friday 8 am-5 pm

Kailua-Kona, Big Island

Pay

$25 an hour

Responsibilities

  • Assist the Executive Director with various administrative duties
  • Manage filing systems, including auditing contracts and cleaning files
  • Conduct HR file set-up and audit checks for staff files
  • Perform personal and business errands as needed
  • Track deadlines and manage paperwork for projects, contracts, and grants
  • Organize digital and physical documents, ensuring information is current and easily accessible
  • Post job listings, manage applications, and schedule interviews
  • Assist with onboarding new employees and collect hiring paperwork
  • Maintain accurate and confidential personnel files
  • Track staff certifications, background checks, and training requirements
  • Support HR and administrative systems to ensure efficient operations
  • Assist with grant searches as needed

Qualifications

  • Proven experience as an Executive Assistant or in a similar administrative role
  • Exceptional organizational and time management skills
  • Strong attention to detail and ability to maintain confidentiality
  • Proficiency in Microsoft Office Suite and database management
  • Excellent verbal and written communication skills
  • Ability to work independently and as part of a team
  • Flexibility to adapt to changing priorities and deadlines
  • Comfort working in an environment with pets, including cats and dogs
  • Resilience and ability to handle potentially sensitive or disturbing information
  • Understanding of HIPAA regulations and commitment to maintaining client confidentiality
  • Ability to comply with a pre-employment drug test, and State and Federal background check
  • Valid driver's license, reliable transportation, and clean driving abstract required
