Job Description

One of Hawaii's largest real estate companies is seeking a Property Management Administrator to provide support for their busy office. In this role, you will be responsible for handling tenant services and relations, coordinating work orders, drafting service agreements and tenant/vendor correspondence.

Full-time, Monday-Friday

Pay

$25 to $30 an hour

Responsibilities

  • Draft service agreements and obtain vendor documentation.
  • Ensure tenant insurance requirements are compliant.
  • Field and respond to customer and tenant calls and inquiries.
  • Coordinate meter readings with maintenance team.
  • Address work orders and operational issues (i.e., roof leaks, plumbing, etc.) on a timely basis.
  • Work with the accounts payable department to process invoices.
  • Collect rent checks and forward to lockboxes.
  • Review tenant statements/invoices for discrepancies and try to resolve with tenant and/or identify for accounting.
  • Prepare manual billings and maintain spreadsheet to facilitate billbacks to tenants.
  • Prepare tenant mailings and memos including default notices, emergency preparations and other communications.
  • Correspond with tenants, vendors, and the community with regards to operations.
  • Coordinate periodic tenant meetings includes handling all logistics.
  • Ensure tenant's compliance with lease requirements including insurance.
  • Act as landlord representative in meetings with tenant.
  • Maintain and update contact lists for all vendors, tenants and key community members and organizations.

Qualifications

  • Minimum 1-year commercial real estate property management, operations or administrative support experience in a business office.
  • Bachelor's degree preferred.
  • Proficiency with Microsoft Office (Word, Excel, Outlook).
  • Proficiency with Adobe Acrobat.
  • Experience with Yardi preferred.
  • Ability to pass a pre-employment background check and drug screen.
