Aloha Nursing Rehab Centre is a long term care facility in Kaneohe that operates 24 hours a day/7 days a week. We are looking for a self-motivated & reliable Nursing Staff Coordinator with the ability to comfortably multi-task in this fast paced setting and role. Responsible for maintaining the nursing admin office and staff scheduling.

Our ideal candidate is able to foster relationships with both employees and external vendors. Must have excellent organization & communication skills & can complete assigned tasks efficiently and in a timely manner with little to no direct supervision. This role requires an eye for detail and meticulous record keeping and will often deal with sensitive information that must be kept secure and confidential.

Full-Time position.

Primary Hours: Monday - Friday; 8:30 am - 5 pm

Responsibilities include, but are not limited to:

  • Overseeing all staffing needs of the Nursing Department.
  • Liaise with recruiting agencies to fill staffing vacancies in a timely manner.
  • Maintain agency cost tracking and processing of agency invoices for nursing admin approval.
  • Receives and responds to telephone calls in a professional manner, communicates messages in a timely manner to nurses and responsible parties.
  • Assists with attendance tracking and compliance of cerdentials and certificatons of Nursing Services employees and contract staff.
  • Performs general secretarial and administrative duties as required or requested by the Director of Nursing Services and nursing administration.
  • Coordinates and makes arrangements for Nursing Services meetings such as departmental meetings, trainings, in-services, Nursing new hire orientation, etc.
  • Prepares agendas, takes and transcribes meeting minutes for Nursing Departmental meetings.
  • Performs reminder notifications to nursing department staff for all mandatory trainings and Relias trainings via email or text message.
  • Tracks Nursing staff compliance of credentials and certifications.
  • Coordinates and oversees residents’ dental and podiatry visits.
  • Performs other duties as assigned or required.

Requirements

  • High School diploma or equivalent
  • Minimum 2 years clerical experience preferred
  • Proficient in Microsoft Word, Excel, Outlook
  • Proven administrative and/or scheduling experience
  • Outstanding organizational and time management skills
  • Requires ability to organize and shift priorities as needed
  • Excellent communication and interpersonal abilities
  • Reliable with a respect to confidentiality
