Administrative Assistant (221764-05)
The Office Administrative Assistant provides essential administrative and data entry support to ensure accurate recordkeeping and efficient office operations. This role supports project tracking, billing, and payroll-related processes while maintaining organized documentation in RFMS and other office systems.
Hours
Full-time, Monday - Friday; 7:00 am - 3:30 pm
Location
Kapolei, Oahu
Pay
$23 an hour
Responsibilities
- Enter, update, and maintain job data, work orders, purchase orders, invoices, and job cost information in RFMS.
- Process vendor invoices and assist with customer billing documentation.
- Maintain accurate digital and physical filing systems for job and financial records.
- Assist with payroll-related data entry and union documentation as required.
- Track and organize job files, change orders, and supporting project documentation.
- Provide administrative assistance to management and project teams.
- Prepare basic reports, spreadsheets, and summaries as requested.
- Manage incoming and outgoing mail, emails, and office documents.
- Ensure all paperwork is completed accurately, efficiently, and on schedule.
- Support general office organization and administrative workflows.
Qualifications
- High school diploma or equivalent.
- Strong data entry and typing skills with a high level of accuracy.
- Basic computer proficiency, including Windows, email, and spreadsheets.
- Strong organizational and time management skills.
- Dependable, punctual, and professional demeanor.
- Ability to handle confidential financial and employee information responsibly.
- Experience using RFMS flooring business management software (training available).
- Prior experience in construction, flooring, or trade-related office environments.
- Familiarity with invoicing, job costing, or payroll processing.
- Experience working in a union environment.
- Knowledge of QuickBooks or other accounting software.
