Job Description

Provide assistance and general administrative support for the Association Manager and other key leaders of a large vacation property.

Hours

Full-time, Monday to Friday, 8:00am-4:00pm or 9:00am-5:00pm

Location

Lahaina, Maui

Pay

$22.25 an hour

Responsibilities

  • Compile materials for association meetings.
  • Write, draft and revise business correspondence.
  • Initiate and responding to owner emails and telephone calls.
  • Prepare, send and collect owner invoices, documents and payments.
  • Code expense invoices and send to accounting.
  • Schedule third party services as needed with vendors and send notifications to owners.
  • Attend meetings, take, transcribe, and distribute minutes.
  • Assist with annual budget preparation.
  • Perform other related duties as assigned.

Qualifications

  • Minimum 2-3 years of prior administrative assistant experience required. Hospitality experience preferred.
  • Excellent working knowledge of Microsoft Office applications including Word, Excel, Outlook and PowerPoint.
  • Advanced written and verbal communication skills.
  • Must be detail-oriented and able to proficiently organize electronic and paper files.
  • Must be professional and able to maintain confidentiality.
  • Ability to perform a variety of duties, often changing from one task to another of a different nature without loss of efficiency or composure.
  • Must be able to take initiative and be solution-oriented.
  • Valid Hawaii Driver?s License.
