JOB SUMMARY ● Overseeing accounting, insurance, and outside contracts as assigned ● Prepare with Head of School annual budget for Board approval, multi-year financial planning, capital investment planning and budgeting based on soon to be completed reserve study ● Prepare custom financial reports as necessary, working closely with the Head of School and other senior management team members to assure long term financial sustainability of the School ● Oversee Staff Accountants for AP and AR, including training, supervision, and support, and oversee reporting completed by Indinero (remote Controller services provider) ● Collaborate with Director of Enrollment Management regarding tuition and financial aid and Director of Campus Operations regarding facility care and maintenance ● Collaborate with the Director of Advancement Board Development Chair to identify fundraising goals and investment priorities; ensures organizational compliance with relevant laws and tax obligations related to fundraising best practices ● As liaison to Board finance committee, ensure strong financial management and investment strategies ● Committee Chair, and participate on the buildings and grounds committee as appropriate ● Partner with the Head of School on fiscal management and program funding and strategy
QUALIFICATIONS/REQUIREMENTS ● Skills/Knowledge: Track accounting for operations, capital, reserve/restricted, and endowment, including accounts receivable and payable; purchasing, billing, and collecting; general ledger; revenue and expense statements, balance sheet, and cash flow projections; contracts and project management; insurance and taxes for non-profits; oversee multi-year budget preparation as well as monthly budget assessment. Must be fluent in word processing, spreadsheet software, Quickbooks Online, and other accounting software as appropriate. ● Education/Training: A degree in business management or accounting and/or comparable experience demonstrating competence in the areas indicated above. ● Experience: References from a previous employer(s) certifying reliability and satisfactory performance over a multi-year period. ESSENTIAL JOB FUNCTIONS ● Accounting – Review AP and AR execution to receive and account for funds, including Bill.com and Ramp systems; review monthly revenue/expense statements, cash projections, and balance sheets ● Taxes and Audit – helps coordinate preparation of the annual 990 tax return filing with and annual audit performed by external CPA, including payroll processing coordination with Altres and HR manager ● Insurance – Oversee adequate coverage for fire, theft, property and liability for staff members and the Board of Trustees and Island School community ● Supervision – oversee the work of business/accounting office staff and Indinero ● Collaboration - Partner with senior administrators to ensure smooth execution of reserve study and planning, facilities maintenance costs, financial aid management, and advancement funds processing ● General – Undertake other responsibilities as may be reasonably assigned by the Head of School to ensure the smooth and effective operation of the School. COMMUNICATION EXPECTATIONS Must keep the Head of School informed of activities, concerns, and accomplishments; also must communicate with other school administrators and work as a member of the senior administrative team. Also, as indicated earlier, must prepare accurate financial reports for review by the Head of School and submission to the Board of Trustees and special reports as requested. Must be able to read, develop, and understand contracts and spreadsheets, and interpret accurately and sensitively the financial condition of the institution as well as of parts of the institution to appropriate personnel and publics. Must be able to discriminate what is private from what is general information and keep private information confidential.
