Job Description

MISC GRANTS MANAGEMENT/ADMINISTRATIVE ASSOCIATE – ID# 221565.​ 

 

Pacific Cooperative Studies Unit.  Regular, Full-Time RCUH, Non-Civil Service position with the Maui Invasive Species Committee (MISC), Pacific Cooperative Studies Unit (PCSU), located on the island of Maui. Continuation is dependent upon program/operational needs, satisfactory work performance, availability of funds, and compliance with applicable Federal/State laws. 

 

MONTHLY SALARY RANGE:  $2,600-$4,500/Mon.

 

DUTIES:  Methodically and strategically works with management in enhancing the program’s funding model, identifies new sources of funding, and assists with a sustainable and effective grants program. Optimizes the grant administration process, prepares progress reports and proposals. Tracks grant reporting cycles and deliverables. Manages grant databases and engages with donors and donor agencies. Processes, records, tracks and maintains personnel actions for RCUH staff, including but not limited to time reports. Processes purchase orders, reimbursements, payments (recurring and new), petty cash and travel for staff. Maintains and organizes related files. Researches equipment/supply needs and vendors, drives to retrieve and deliver orders and supplies, obtains quotes, as needed, and assists with all phases of project procurement. Picks up, and prepares appropriate procurement documents. Tracks orders and ensures purchasing accuracy. Coordinates travel arrangements and drafts travel reports (authorization/completion). Composes, finalizes, and routes correspondence by mail, fax, or email. Helps direct phone calls and provides information to general public. Organizes and maintains official files for MISC program, projects, and personnel. Helps develop and revise standard operating procedures (SOPs) for operations.

 

PRIMARY QUALIFICATIONS: EDUCATION/TRAINING: Associate’s Degree from an accredited community college in a related field to job duties. EXPERIENCE:  Two to four (2-4) years of work experience in administrative/grants management with budget formulation and a successful track record of fundraising and administrative duties.  ABIL/KNOW/SKILLS:  Knowledge of public accounting and procurement principles and processes.Basic knowledge of Hawaiian biota and threats from incipient alien plant and animal invasions in Hawai‘i. Proficient in Microsoft Word, spreadsheet computer applications, internet use, and cloud-based programs. Ability to research and resolve discrepancies in data and financial transactions. Ability to communicate effectively in writing and verbally. Excellent organizational skills. Must possess a valid driver’s license(and if use of personal vehicle on the job is required, must also have valid personal driver’s insurance equivalent to Hawai‘i’s No-Fault Driver’s Insurance) and maintain throughout the duration of employment. Post Offer/Employment Conditions: Must be able to pass a post offer criminal background check. Must possess certification in First Aid/CPR (or be able to obtain the certificate following the training provided within six (6) months from date of hire) and maintain throughout duration of employment.  PHYSICAL/MEDICAL REQUIREMENTS:  Able to lift and carry twenty (20) pounds.Must be able to sit for long periods of time. SECONDARY QUALIFICATIONS:  Bachelor’s Degree from an accredited four (4) year college or university. Expertise with Microsoft Office programs and databases. Knowledge of biological principles and appreciation for biological resources, especially pertaining to Hawaiian ecosystems and alien/invasive species issues. Experience working in an office to support biological field activities.
