Job Description

The Grant Administrator supports the Development Manager in overseeing all aspects of the grant lifecycle, from initial reporting to final documentation. This role maintains meticulous grant records while collaborating closely with program, finance, and external partners to ensure compliance with funder requirements. The ideal candidate brings strong analytical and technical skills in data and financial management, paired with excellent communication, organization, and attention to detail—upholding the integrity and effectiveness of ASC’s grant management.

This part-time, hybrid position reports directly to the Development Manager. The Grant Administrator works up to 15 hours per week, with some flexibility in scheduling.  Compensation ranges from $20–$25 per hour, commensurate with experience.

Key Responsibility Areas (KRAs)

Grant Reporting

  • Maintain a reporting calendar to ensure all programmatic and financial reports are submitted on time
  • Coordinate with program staff to gather required metrics, outcomes, and supporting documentation
  • Draft and format reports for funders

Grant Management Assistance

  • Assist in the full lifecycle of grants; from proposal through award, reporting, and closeout
  • Maintain accurate and organized grant files (both physical and digital)
  • Collaborate with the funding agency, internal departments (finance, programs, legal), and external partners

Financial Oversight

  • Monitor grant budgets to ensure expenditures align with approved funding and agency guidelines
  • Work closely with finance team to reconcile expenses, manage drawdowns, and ensure timely fund disbursements
  • Verify that reported expenses align with grant terms, budgets, and approved activities
