We are seeking a detail-oriented and highly organized Legal Secretary to support attorneys in a fast-paced law firm environment. The ideal candidate will have experience handling probate, estate planning, and/or civil litigation matters, with the ability to manage multiple priorities while maintaining professionalism and confidentiality. This role requires strong communication skills, excellent attention to detail, and the ability to work effectively with clients, courts, and legal staff.

Responsibilities

  • Manage attorney calendars, coordinate meetings, hearings, depositions, and client appointments, and maintain organized physical and electronic case files.
  • Provide day-to-day administrative support to attorneys and ensure deadlines and scheduling priorities are met.
  • Prepare, draft, proofread, and format legal correspondence, pleadings, motions, discovery materials, and other legal documents.
  • Serve as a primary point of contact between clients and attorneys by responding to inquiries, providing case updates, and maintaining professional and compassionate communication, particularly in sensitive probate and estate matters.
  • Assist attorneys with probate and estate administration matters by drafting probate petitions, inventories, creditor notices, deeds, and related documents.
  • Support the collection and organization of asset information, preparation of accountings, and communication with beneficiaries, financial institutions, and court personnel.
  • E-file legal documents with state and probate courts while ensuring compliance with applicable court rules, filing procedures, and deadlines.
  • Monitor case activity and maintain accurate calendaring of important dates and deadlines.

Qualifications

  • 2+ years of experience in a law firm environment required; probate, estate planning, or civil litigation experience preferred.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook, as well as legal case management software.
  • Strong understanding of legal terminology, court procedures, and filing requirements.
  • Exceptional organizational skills with the ability to prioritize tasks and meet strict deadlines.
  • Excellent written and verbal communication skills.
  • High level of professionalism, discretion, and attention to detail.
  • Active Notary Public commission required.
  • Ability to comply with a pre-employment state and federal background check and drug screen.
